Senior Office Administrator

The Senior Office Administrator will be responsible for overseeing and managing the reception area and office administration tasks, providing senior-level support to the business, while leading initiatives to improve office efficiency and client service.

Details/duties:

  • Supervise the reception area, ensuring all visitors and inquiries are handled promptly and professionally
  • Take responsibility for the overall coordination and smooth operation of the office, including managing supplies, overseeing office equipment maintenance, and ensuring a well-organised workspace
  • Provide high-level administrative support to senior management, including preparing complex documents, managing schedules, and handling confidential information.
  • Act as the senior point of contact for clients and visitors, ensuring a high standard of client service and addressing any issues or concerns.
  • Lead the organisation and execution of company events, including internal and external meetings, conferences, and social events, ensuring all logistics are managed efficiently.
  • Ensure compliance with all company policies, including HSEQ and GDPR, and act as a point of contact for related queries within the office.
  • Lead or assist in office-related projects aimed at improving operational efficiency, such as implementing new systems or processes.
  • Oversee the maintenance of office records, ensuring accuracy, accessibility, and compliance with company policies.
  • Identify opportunities for improving office processes and procedures, and take the initiative to implement changes that enhance overall efficiency and effectiveness..

Qualifications/Experience required:

  • Previous experience in a similar position preferably in the oil and gas industry.
  • NVQ Level 3 or equivalent in Business Administration or Office Management
  • Proficient in advanced Microsoft Office Suite – Word, Excel, Outlook, PowerPoint, Teams
  • In-depth experience in office administration reception management with a strong understanding of corporate environments
  • Excellent communication skills, both written and verbal, with the ability to liaise with senior management and external stakeholders
  • Exceptional organisational and multi tasking abilities, with a focus on efficiency and attention to detail
